Adding Identified Equipment
Identified Equipment is defined as any equipment you would like to track individually with a unique number.
Before you add items to the Identified Equipment inventory, you need to create Identified Equipment Models.
Adding Identified Equipment
- Go to Inventory -> Identified Equipment
- Click the Add button
- Scan the unique barcode number into the Equipment Tag field. (This is usually a heat-press label or adhesive tag.)
- Populate the additional fields as needed.
- School Equipment Ref (optional, not commonly used) If the equipment had a previous numbering system on it, this number could be added here.
- Equipment Type (required) Choose the Equipment Type of the Model you are currently identifying and adding to your inventory.
- Equipment Model (required) Choose the Equipment Model of the item you are currently adding to the system. (If the Equipment Model is not in your drop-down, you can add it by using the + button. Define it as you would on the Identified Equipment Models screen.)
- Equipment Size Choose the size of the item you are adding to your inventory.
- Cost (Optional) This field is used to see how much money you have in inventory and is also printed on the Issued Equipment reports mailed to parents when asking for equipment to be returned.
- Color (Optional)
- Needs Returned (Required)
The Need Returned field defaults to "Yes". This means you want the item back from the athlete. If it is an item you are going to check out and do not need the athlete to return, change Need Returned = No.
- Manuf Year (optional, not commonly used) Use only if you want to track this information.
- Condition (optional, not commonly used) Use only if you want to track this information.
- Warranty Expiration Date (optional, not commonly used) Use only if you want to track this information.
- Team (Optional) Use if you want to keep your inventory separate for each Team.
- Uniform No. (Optional) The number on the item you are identifying.
- Inventory Location (optional, not commonly used) This field is used if you store equipment in multiple locations. The drop-down is populated by Settings -> Inventory Locations

- Click Save if you are entering one item only. Click Save & New if you are entering multiple items in a row.
If you are entering the same identified equipment with differnet colors and/or sizes, the Save & New button will keep all of the information on the screen and you can change only the size field.
The most efficient way to enter inventory is to work through one model at a time and group by color and then size. Each time you will need to change the Equipment Tag and sometimes you will only change the size until you start your next batch of the next size.
